Employment Opportunities

The Boston Preservation Alliance is seeking a part-time (20 hours/week; 4-5 days/week) Administrative Assistant and Advocacy Information Center Coordinator for our small and busy office.  The Alliance is a private, nonprofit organization that preserves Boston’s invaluable built heritage through leadership, advocacy and education.

Responsibilities

  • Answer phone and manage e-mail inquiries from general public. Track and direct requests for advocacy assistance.
  • Improve and manage filing system of Boston preservation projects and educational/informational materials to facilitate use by staff and the general public.
  • Assist executive director in development of a web-based advocacy information portal (to be completed by 12/31/10) on the Alliance’s website.
  • Manage day-to-day bookkeeping using Quickbooks - process incoming checks, pay bills; run finance reports; set up budget as determined by Finance Committee on an annual basis.
  • Keep office supplies stocked and in good order.
  • Schedule and coordinate logistics for meetings for Executive Director and Board.
  • Provide general administrative support, as needed.

Competencies

  • Exceptional organizational and interpersonal skills.Very strong computer skills. Proficient in Word, Excel, Quickbooks, and Access;Ability to work independently and to multi-task.Professional manner, positive attitude, and sense of humor.
  • Experience in a busy office environment.

Internship Opportunities

The Boston Preservation Alliance offers internships to graduate and undergraduate students to help support our work as Boston’s lead historic preservation advocacy and education organization. This is a part-time, unpaid internship (15-20 hours per week). Hours will be mutually agreed upon with the Education Coordinator, but must be during the regular business day (9-5 am), Monday through Friday and must be consistent on a week-to-week basis. Candidates must be detail-oriented, organized and willing to take initiative. Internships are granted competitively by merit. Preference will be given to students receiving credit for the internship

Responsibilities
This internship will primarily be geared toward supporting the Alliance’s Neighborhood Workshop Program and responsibilities include:

  • Assisting Education Coordinator with research, planning and preparation of Neighborhood Workshops, including written and visual materialsConducting recordkeeping and documentation related to workshops
  • Preparing Grant Proposals for additional funding to expand our education programs, including Youth Education Components

In addition, you may be asked from time to time to assist with general office support, including:

  • Updating portions of the Alliance’s website, facebook page, and twitter feed
  • Compiling press clips and maintaining advocacy filesAssisting with special events, including lectures and walking tours
  • Other administrative tasks, such as mailings and data entry

Skills Required

  • Computer proficiency (MS Word and Excel required) and good internet research skillsExcellent writing skills and keen attention to detailsSelf-starter with ability to complete assigned tasks with limited supervisionPunctuality and ability to commit to a regular, weekly schedule
  • Enthusiasm, good “people skills,” and sense of humor
